This role will be part of a dynamic HR team that will partner with organizations within HR as well as across the Draper Community.  This role is responsible for partnering closely with the Draper’s Finance organization to monitor the HR budget, while completing relevant summary analysis for leadership on an on-going basis. Financial administration responsibilities will also include creating and maintaining purchase orders, tracking HR Invoices, processing expense reimbursements, and auditing. The HR Operations Associate will also develop an effective system for organizing and tracking HR contracts to ensure compliance and serve as the point of contact for select vendors.


The targeted candidate will need to manage the HR Processes in partnership with Talent Acquisition, Total Rewards, HRIS and HR Business Partner’s in sustaining accurate confidential records. Strong follow through, attention to detail and the ability to multi-task across projects.  Proactive, strong initiation skills with a passion for providing financial analysis, auditing and reconciliation of best practices to a growing team.   

  • Provides budgetary analysis through partnership with Finance to monitor and coordinate all budgets allocated to Human Resources. Runs financial system software to evaluate and report on budget versus actual performance. Adjusts budget plans as necessary to ensure division level budgets are not exceeded. 
  • Utilize Excel or databases in order to maintain administrative, Board, financial, technical data, or statistical material. 
  • Maintain a log of all HR contracts to ensure compliance with company policy and to ensure all contracts remain valid through auditing. This includes maintaining copies of all contracts and correspondence with the vendors to which they apply. Creating purchase orders through partnership with Contracts and Procurement. 
  • Reconcile and assist with the expense reimbursement process by collecting all documentation and ensuring the completion of all form(s) is completed as required. 
  • Coordinates both simple and complex travel arrangements utilizing Concur including making hotel accommodations, and arranging meeting rooms and meal and transportation arrangements 
  • Prepares and processes invoices for payment following procedures and maintains accurate records. 
  • Assist the HR Operations team as needed by coordinating interviews, entering new hires into PeopleSoft, conducting onboarding, and providing assistance to Benefits Team as needed. 
  • Provides general assistance which may include but is not limited to: escorting visitors, office support, providing refreshments, placing calls, assisting with accommodations and securing local transportation. 
  • Arranges and coordinates meetings both simple and complex, which include but is not limited to: reserving conference rooms, arranging for audio/visual aids, ordering food and beverages and notifying all attendees, providing for administrative support to guests. 
  • Draft correspondence of a sensitive, confidential and/or business nature using appropriate format, grammar, punctuations, and spelling and memos. Creates presentations using PowerPoint or other media, ensures professional results are achieved and knows what methodology, sources and appearance is required in order to achieve those results. 
  • Provides administrative/office support to the Principal Director, Human Resources and Department Team Leads




  • Requires a high school diploma with 5+ years of directly related Executive-level support experience 
  • Experience working with financial data and budgets and providing analysis to Senior leaders as needed. 
  • Proficient in Microsoft office products and ability to communicate effectively both in writing and verbally. 
  • Excellent organizational skills required. 
  • Strong attention to detail and ability to maintain confidential records 
  • Experience utilizing Peoplesoft is strongly preferred.
